Charging entry fees
Charge an entrance fee in credits on a tournament, see who has paid, and refund players when plans change.
Overview
Tournament entrance fees are paid in credits. You link the tournament to one of your activities, and players pay that activity's price from their credit balance with you to join. A player who pays joins right away, so you never chase money on game day.
Players who don't have enough credits can buy one of your credit packages on the spot, without leaving the tournament page.
Before you can charge a fee you need at least one activity — see the Activities and QR codes guide. To let players top up when they're short, you also need credit packages on sale — see the Selling credit packages guide.
Adding the fee
You can add, change or remove the fee when you create the tournament, or later from the tournament's edit drawer. The fee lives in the Joining section of the form, next to Require approval and Late participation.
Turn on Entrance fee.
Pick the activity.
Each option shows the activity's price in credits, and the form confirms what each player pays. Paused activities are marked; players can't pay until you activate them.
Save the tournament.
From now on, players see a “Pay … credits to join” button on the tournament page. The fee is also shown on the tournament's details and in your tournaments table.
Players pay the activity's current price. If you change the activity's price in your credits dashboard, the entry fee changes with it. If the activity has a limit per customer, that limit counts across every tournament that uses it, so a separate activity for tournaments is often simplest.
You never pay the fee for your own tournament. Copying a tournament copies its fee too.
How players pay
- Joining — players tap “Pay … credits to join”, confirm, and are in. The credits are taken from their balance with you.
- With organizer approval — players can still pay to join straight away, without waiting for you. Or they can send a free request instead; once you approve them, they pay from the tournament page.
- Players you add yourself — anyone you add or approve without them paying sees a “Pay entrance fee” button until they've paid, even after the tournament has started.
- After the start — with late participation on, latecomers send a request; once you accept them, they can pay.
- Teams — each player pays their own fee. A teammate invited by someone who hasn't paid yet waits until they have.
The full player experience is covered in the Paying for a tournament guide.
Seeing who has paid
In the tournament's player list, a coin icon next to each player shows whether they've paid the entrance fee. You also get a notification when someone pays.
Every fee paid shows up in your credits dashboard as a redemption of the activity: in the activity's Redemptions, in the player's history under Customers, and in the Transactions tab.
Refunds
Entry fees are always refunded in full, as credits back to the player's balance with you. Some refunds happen automatically:
| Situation | What happens |
|---|---|
| You remove a paid player, team or group, or clear all participants | Their fee is refunded automatically. |
| You delete the tournament | Every paid player is refunded automatically. |
| A player leaves on their own | No automatic refund — refund them yourself if you want to. |
| You want to refund someone who stays in | Open the player's menu in the tournament and choose Refund entrance fee. |
You can also refund any fee from the player's history in the Customers tab of your credits dashboard. A refunded player can pay again to rejoin.
If a refund can't be made from the tournament — for example because a co-admin doesn't manage the seller the fee was paid to — you'll be told to refund it from the credits dashboard instead.
What about leagues?
Entry fees exist on tournaments only — a league has no fee of its own. To charge players in a league, add an entrance fee to each tournament you schedule within it.
